Frequently asked questions
Hardware
Does anyone still use a dictation device these days?
Yes, absolutely. In industries with high documentation requirements such as healthcare, dictation remains the gold standard for efficiency. However, app-based solutions are increasingly prevalent.
What is the difference between dictating and transcribing?
Dictation is the active process of speaking and recording information. Transcription refers to the subsequent conversion of this audio recording into written text – either manually by a transcriptionist or fully automatically using speech recognition or ambient documentation.
How does digital dictation work?
With digital dictation, your voice is recorded as an audio file.
- Recording: You speak to your dictation device or smartphone app.
- Transmission: The dictation is downloaded to the PC via docking station, USB or app.
- Processing: The file is either sent to an office for manual transcription or automatically converted to text by voice recognition software (such as Voicepoint Xenon®, Dragon Medical One or Voicepoint Helium®).
Which dictation device is the best?
There is no single “best” device, but there’s a “right” device for your specific application:
- The Philips DPM 8000, DPM 8200 and 8500 devices or the OM SYSTEM DS-9100 are perfect for when you’re on the go. They offer a robust and ergonomic solution, regardless of where you are working.
- The Philips SpeechMike Premium series or the OM SYSTEM RecMic RM-4010N system are ideal for the desktop and the use of speech recognition solutions. They offer the best microphone quality for direct speech recognition on the PC.
- For maximum flexibility, we recommend using a smartphone in combination with our Voicepoint Xenon® platform solution. This is the state-of-the-art solution for those who do without an additional device and want to work efficiently while on the go.
How do I find the right digital dictation device to meet my needs?
Choosing the right dictation device depends on your individual needs and habits. If you are already familiar with the traditional devices, it may make sense to continue using them since you are already familiar with their use. If you prefer maximum flexibility, we recommend a smartphone solution. With such a solution, you can record dictations in any location and send recordings directly – anytime and anywhere.
On the other hand, if you prefer a separate but still mobile device, a classic digital dictation device with a docking station may be the right choice for you.
How can I make sound recordings with my mobile phone?
For professional use, you use specialized apps such as Voicepoint Xenon®. These turn your smartphone into a secure dictation device that encrypts recordings and transmits them directly to your practice or clinic software – efficiently and in compliance with data protection regulations.
What are the differences between mobile dictation devices and fixed dictation microphones?
Mobile dictation devices are ideal for on the go. They store dictations directly on the device and offer a high level of recording quality and ease of use.
Fixed microphones are used at the workstation and are connected to the PC via a USB cable. They are particularly suitable for dictating with speech recognition and often offer additional control options for convenient use.
What are the differences between Philips and OM SYSTEM dictation machines?
Both brands offer high-quality devices; the choice between the two brands depends on user preference.
Can I edit or add to dictations at a later time?
Yes, as long as the dictations are still on the device, you can edit or add to them in a targeted manner both on traditional devices and in the app you are using.
